We are looking for an assistant that provides vital administrative and organizational support to the ABC Board of Directors and the ABC Office. You will be the first point of contact for our diverse network of researchers, students, and international partners.
What are you going to do
- Administrative Support: Act as the primary point of contact for the ABC Office (managing the abc@uva.nl and info-abc@uva.nl mailboxes). Handle correspondence, manage complex calendars for the Board of Directors, and maintain the network’s membership databases.
- Meeting Coordination: Organize Board and Advisory Board meetings, including preparing agendas, distributing documents, and taking minutes.
- Event Management: Assist in the logistical organization of major ABC events, such as the annual ABC Symposium, the Honorary Frijda Chair lecture, workshops, and the ABC Summer School. This includes venue booking, catering, and guest registration.
- Grant Support: Support the administration of ABC funding schemes (Project Grants, Talent Grants, and Support Grants). Track application deadlines and assist in communicating results to applicants.
- Communication: Update the ABC website content and contribute to the monthly newsletter to keep the community informed about research breakthroughs, upcoming events, and funding opportunities.
- Financial Administration: Process invoices, expense claims, and monitor the budget for small-scale funded initiatives.
What do you have to offer
- Education & Experience: HBO with some experience in office management.
- Languages: Excellent command of English (written and spoken), as ABC is an international community.
- Technical Skills: Proficiency in Microsoft Office (Outlook, Word, Excel). Experience with CMS (e.g., Hippo/Magnolia) and digital collaboration tools is preferred.
- Soft Skills: Strong organizational skills with the ability to prioritize tasks in a fast-paced environment. You are service-oriented, communicative, and comfortable interacting with people from various academic disciplines and levels of seniority.
- Affinity: An interest in brain and cognitive sciences and the "interdisciplinary" mission of the UvA.
What else do we offer you
We offer part-time employment for the period of one year with a probationary period of two months. If proven suitable and unchanged financial and organizational circumstances, the contract will be extended to the end of 2028, the end date of the consolidation plan of ABC. The starting date is asap. The position concerns 5 hours per week.
