Salary: Band 4 £29,116 - £31,670

Work Pattern: Full Time, 37 hours per week. 

You must have eligibility and entitlement to work in the UK which is required to be maintained throughout your period of employment. 

Who We Are 

NHS Education for Scotland (NES) is the national health board with statutory responsibilities to effect sustainable change through workforce development, education and training across the health and social care system in Scotland, while working at UK level with partner organisations.

The Medical Directorate is responsible to the NES Board and through the Board to Scottish Government for the commissioning and delivery of postgraduate medical education in Scotland. The role of the Directorate is to oversee training, manage the trainee’s progress through the training programme and ensure the training is delivered to GMC standards. 

This role will sit in the Medical Directorate Support team, who provide a high level of support to the senior team within the Medical Directorate.

We are looking for an Admin Officer with Personal Assistant experience to join our small, but highly talented team within Medical Directorate Support. 

In this role you will have the opportunity to provide administrative support to one of the Postgraduate Deans.

What We Love to See 

Admin Officers (Personal Assistants) offer a broad range of skills and experience, if you can offer some or all of these, we’d love you to apply:

  • Proven experience of supporting a senior role with the management of their diary, including prioritisation of incoming workload. 

  • Extensive experience working in the field of business operations, including providing business support to meetings and production of formal minutes/action notes 

  • Experience of working collaboratively and flexibly within in a team, and across other workstreams and departments 

  • Ability to communicate clearly, effectively, and confidently at all levels 

  • Experience of maintaining comprehensive and complex programme documentation in a manner that is accessible 

  • Confidence in using a variety of Microsoft packages (e.g., Teams, Word, Excel, Office 365, SharePoint) and a willingness to enhance this knowledge 

  • Ability to proactively identify and communicate improvements to processes and systems 

  • Ability to work on own initiative, to effectively organise and prioritise own workloads and that of others, and to meet strict deadlines 

  • Demonstrate honesty, integrity, care and compassion when dealing with others, utilising tact and persuasion skills when necessary
