Tasks

Role Purpose

  • To support the delivery and continuous improvement of our education and training journey, whether that is face to face or virtual sessions.
  • To support members and other delegates as they navigate through their planned professional development or formalised training programme (eg MSc or apprenticeship).
  • To coordinate the day to day running of training and education events such as working with speakers and enabling delegate registration.
  • To provide additional support for TOPRA professional development activities as required.

KEY ACCOUNTABILITIES

The main responsibilities of the post holder are shown below. The post holder will also be expected to perform ad hoc tasks from time to time as requested by the Head of Training and Qualifications (HTQ) and Director of Professional Development (DPD).

SUMMARY OF TASKS

Courses

  • Create booking pages and make live when approved.
  • Manage bookings and respond to queries.
  • Prepare and distribute course information, delegate packs, learning materials and handbooks as required.
  • Organise and attend volunteer Working Party meetings as required.
  • Negotiate contracts, attend site visits where needed and finalise contracts.
  • Liaise with suppliers, delegates and speakers to ensure all final details are communicated.
  • Delegate and member liaison and support
  • Process bookings, including sending booking confirmations.
  • Respond to queries from delegates and potential delegates such as queries on their course or programme and progress.
  • Ensure that accurate and complete record of attendance and progress are maintained.

MSc Students

  • Process paperwork and maintain files for: Enquiries, Admissions, Invoices, Assessment, Feedback, Plagiarism detection, Completion and certification, Lapses and withdrawals, Outstanding invoices
  • Coordinate generation and authorization of coursework assessments.
  • Ensure all students and apprentices are supplied with the coursework and results as required.
  • Process coursework and MSc dissertation submissions.
  • Prepare marks, process student records and communicate with the external examiner ahead of exam board meetings.
  • Collaborate with the Courses and Programmes Director on producing Annual Monitoring data.

Delegates and speaker requirements

  • Ensure delegates and speaker needs are met before and after the course.

Feedback

  • Collate all feedback from delegates and speakers into a useable form. Manage follow-ups with speakers, Working Party members, delegates, venue etc. appropriately.
  • Monitor user progress and provide reports to the DPD and HTQ including recommendations on solving any emerging/historic issues or blockages for users.
  • Committee Support
  • Support the course working parties including production of agendas and minutes
  • Marketing and promotional activities
  • Liaise with marketing and assist in the preparation of promotional information.
  • Management information
  • Supply up-to-date information on learner progress and course uptake to inform budgetary, marketing and other management decisions.

Budgets

  • Work with the DPD, HTQ and Financial Controller to put together the draft budget for specific events or online development activities.
  • Ensure costs are managed and recorded for events or online development activities.
  • Other professional development activities and delegates
  • Support team members to meet the needs of delegates and speakers as required including
  • Responding to queries in shared email boxes
  • Supporting event and course preparation and delivery
  • Monitoring on-line feeds/ recordings and providing technical support to speakers and delegates
  • Provide support for the development and implementation of the TOPRA CPD strategy as required.

Additional Role Requirements

  • Attend meetings UK and abroad, if required
  • May require working in the UK or abroad and overnight away from home for a number of days. This will be managed and supported in line with staff policies such as expenses.

EITHER: Bursary schemes

  • Oversee and administer the bursary scheme, compiling and presenting applications to the ADPD

OR: Administration and negotiations for in-house courses

  • Support the DPD to negotiate and agree contracts with speakers
  • Work with the DPD and others to identify potential speakers
  • Work with clients and speakers to agree delivery date

Requirements

Key Competencies

  • The skills, knowledge, qualification and experience that the job holder must have in order to perform the job successfully
  • A qualification or experience in event and/or learning management
  • Experience in managing delivery of courses and training programmes including course agendas, delegate and speaker support and course administration
  • Strong planning and prioritisation skills with ability to multitask
  • Excellent oral and written English
  • Excellent Customer Service skills
  • Excellent organisational and administrative skills including record keeping and attention to detail
  • Basic financial awareness and understanding for example working to a budget and controlling costs
  • Suitability to work with apprentices and vulnerable people including acceptable DBS record
  • General IT skills including MS Office (eg Word mail merges and Excel reporting). An aptitude to learn new software/portals and experience of customer databases such as iMIS, webinar and eLearning platforms will be an advantage
  • Willingness to learn and ability to work in a team to support delivery of overall team or organisational objectives
